We seek an organized, hands-on, and service-oriented Administration Manager to join our multicultural Singapore team, supporting office-related functions and administration projects from A to Z. 

 

Key Responsibilities:

  • Oversee the planning and ordering of corporate merchandise to ensure we have the right items.
  • Support with various office operations (seating arrangements, mobile phone plans, lunch services, business card requests and courier services).
  • Track office assets to ensure they are well-maintained and support a smooth work environment.
  • Assist new joiners and employees with any administrative inquiries or requirements. 
  • Manage office bill processing, ensuring accurate records and timely payments within budget.
  • Build and maintain positive relationships with tenants through effective contract management and prompt responses.
  • Foster strong relationships with vendors and suppliers, including managing contract negotiations and performance evaluations. 
  • Assist with office maintenance activities to ensure compliance with safety standards and operational efficiency. 
  • Track expenses and prepare reports to provide insights into spending, ensuring adherence to budget.
  • Oversee operations of bunker apartments, managing maintenance and tenant communications effectively.
  • Manage warehouse inventory by monitoring stock levels and organizing storage for efficient order fulfillment.
  • Assist with onboarding and offboarding processes in close collaboration with HR and Travel Desk
  • Assist with planning and managing events ensuring all administrative aspects are handled effectively. 
  • Provide backup support for the Singapore administration team as required. 
  • Be available for after-hours or weekend maintenance work when necessary. 

 

Requirements:

  • Service-oriented, approachable, and willing to go the extra mile 
  • Strong team player with effective communication and interpersonal skills 
  • Previous experience in office or administrative roles.  
  • Comfortable speaking and writing in English. 
  • Familiar with Excel, Word, and Microsoft 365. 
  • Able to think on your feet, multitask, proactive and handle pressure with ease 
  • Experience in event organization is an advantage
